This policy explains how Replayable ("we", "us") collects, uses and
protects personal data when you use our missed-call text-back service and website
replayable.co.uk. We are the data controller for the
information described below.
Plain-English summary: we handle two kinds of people's data — our
trade customers (the businesses who pay for Replayable) and their callers (people who ring those
businesses). We only use that data to run the text-back service, and we never sell it.
1. Information we collect
- Account data — the business name, contact name, email, phone number and billing details of trade customers who sign up.
- Caller data — when a call to a customer's number is missed, we process the caller's phone number and the content of the SMS conversation that follows, so the automatic reply can be sent and managed.
- Usage data — basic logs (timestamps, delivery status) needed to operate and support the service.
- Website data — standard information such as pages visited, used to keep the site working and secure.
2. How we use it
- To send the automatic text-back and deliver the conversation to the trade customer.
- To provide the dashboard, support and billing.
- To improve reliability and prevent misuse.
- To send service-related messages to trade customers.
3. Legal basis
We process account data to perform our contract with trade customers, and caller data under our
legitimate interest (and our customers' legitimate interest) in responding to a genuine enquiry that
the caller initiated by ringing the business. Callers can opt out of further messages at any time by
replying STOP.
4. Sharing
We use trusted processors to run the service — notably Twilio for telephony and SMS
delivery. They process data on our instructions under their own security and privacy terms. We do not
sell personal data to anyone.
5. Retention
We keep conversation data only as long as needed to provide the service to the relevant trade
customer, and delete or anonymise it when no longer required or on request.
6. Your rights
Under UK GDPR you can request access to, correction of, or deletion of your personal data, and can
object to certain processing. To exercise any right, email
replayable1@gmail.com. You can also complain to the ICO
(ico.org.uk).
7. Security
We use appropriate technical and organisational measures to protect data, including access controls
and encryption in transit.
